Performs data entry, complete word processing functions, maintains document filing systems, and prepares and processes office documents.
EXAMPLES OF DUTIES: Maintains records of certificated employees’ professional growth, education, tenure status, contract, and tuition reimbursement in the HR information system.
Initiates salary lane advancement when appropriate.
Performs a variety of skilled secretarial and clerical duties in support of the Office of Certification.
Develops, formats, and prepares correspondence, memoranda, reports, announcements, and forms.
Composes correspondence and memos.
Prepares specialized documents and technical reports.
Creates documents for mass mailings.
Produces charts, graphs, and tables.
Designs, creates, and maintains databases, spreadsheets, rosters, and logs.
Maintains electronic and paper document filing systems.
Updates educator records and uploads electronic documents in the MSDE The Educator Application and Certification Hub (TEACH).
Reviews and processes documents pertaining to functions of the Office of Certification.
Checks documents for completeness, accuracy, and compliance with established policy and procedural requirements.
Attends meetings and takes notes.
Arranges and coordinates appointments, conferences, and schedules.
Reserves meeting rooms.
Arranges for equipment and supplies as needed.
Answers telephone calls.
Provides assistance and information to callers, which requires a detailed knowledge of Office of Certification procedures including but not limited to tuition reimbursement, Maryland certification, and salary lane advancement requirements.
Receives and forwards messages to office staff.
Receives and directs visitors to the office.
Performs other duties as assigned.
MINIMUM QUALIFICATIONS: Education, Training and Experience: Possession of a high school diploma or appropriate equivalent, plus three years of secretarial experience.
Experience supporting Human Resources functions and using human resources information systems is preferred.
Demonstrated skill in typing 40 words per minute.

PHYSICAL AND ENVIRONMENTAL CONDITIONS: The work of this class is generally sedentary and performed in an office environment.

The fee charged for fingerprinting is $109.
