Our practice includes in-house specialists in 10 areas of medicine, from cardiology to podiatry.
We also offer unique services like our ambulatory surgery center and nuclear stress testing facility.
Each of our offices has laboratory centers for tests and blood work on site.
We are seeking to hire a full-time Administrative Assistant!
The Administrative Assistant provides high-level administrative and operational support to the CEO.
The Administrative Assistant primarily supports the CEO and provides additional support to executive team members as directed, to ensure that company goals and objectives are accomplished and that operations run smoothly.
The Administrative Assistant supports and promotes the overall philosophy of the company by setting a consistent example of exceptional customer service, and efficiently coordinates and utilizes available resources to promote compliance with the company’s highest standards for quality service.
Schedule:
Exempt: Monday – Friday 9am -5pm *requires flexibility

Responsibilities and Duties:
· Managing the CEO’s calendar/schedule and prioritizing the most sensitive matters.
· Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
· Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the CEO’s behalf.
· Maintaining comprehensive and accurate records.
· Performing minor accounting duties.
· Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
· Monitoring and responding to emails.
· Ensure all CLIA Certificates and Lab Permits are up to date, add tests, remove tests, change director, etc.
Assure billing company has the most recent copy of both for billing purposes.
· Ensure the company’s Practice Companion directory is up to date.
· Ensure the company’s Master Listing directories are up to date.
· Scheduling of All Provider Meetings and sub meetings while working in conjunction with the President and Director of Internal Medicine.
· Other administrative duties as assigned.
Education and Requirements:
· Minimum 2 years administrative experience or other relevant administrative support experience.
· Proficiency in computer skills with a willingness and ability to learn new applications.
· Excellent time management skills with a proven ability to meet deadlines
· Exceptional organizational skills and attention to detail.
· Ability to manage multiple tasks and priorities.
· Excellent oral and written communication skills.
· Shall speak, understand, read, and write English fluently.
· Ability to interact effectively with culturally diverse patients and employees.
· Ability to convey a positive attitude and project a professional image.
· Ability to remain flexible and adapt to momentary needs and demands.
· Ability to maintain confidentiality.
· Ability to work independently and as a member of a team.
· Requires long periods of sitting, intermittent standing, reaching, and bending.
· Keeps regular attendance; arrives on time and ready to work at the beginning of each scheduled workday and remains at work until the end of the scheduled shift.
