If so, we're looking for someone like you to join our group administrative team in the Ocean Systems and Engineering Group at APL! As the administrative assistant for the Ocean Systems and Engineering Group, you will have the opportunity to apply your administrative experience to a diverse and fast paced engineering team that delivers solutions to our national security sponsors.
You will play an active role in purchasing, coordinating group travel, shipments, and group communications.
As a Group Administrative Assistant, you will.

Collaborate with our team of administrative professionals to manage the group office including the purchasing and reconciling of equipment, materials, and supplies; booking and processing travel reimbursements; and managing calendars.
Lead property audits as the group property administrator.
Support and assist with group meetings, facilities requests, and logistics activities as needed.
Independently initiate administrative efforts to resolve any issues regarding shipping logistics, shipping authorizations, and travel for our field support teams.
Contribute to group security processes to ensure all relevant procedures are followed for handling of classified information.
Work with our engineering teams to purchase lab equipment and supplies.
Assist in planning, coordinating, and supporting internal and external meetings.
Collect and catalog documentation for field tests and engineering test events.
Ensure clearances are processed for our staff’s travel to government facilities.
Partner with other administrative staff to work as a seamless team across our engineering groups including backfill and sharing of workload.
Guide and mentor fellow administrative staff as needed.
Qualifications You meet our minimum qualifications for the job if you.

Possess an Associate degree or equivalent level of experience, with a minimum of 3 years of relevant administrative support experience.
Have an ability to work on complex and multiple administrative and program tasks independently with little supervision.
Have a willingness to take on additional work and challenges to develop new skills.
Are proficient in the MS Office suite in order to produce high-quality documents, spreadsheets and presentations.
Are capable of demonstrating independent judgment, interacting and communicating effectively with engineering teams and external contractors.
Can pro-actively initiate, manage, and lead administrative tasking.
Are able to obtain Interim Secret level security clearance by your start date and can ultimately obtain Secret level clearance.
If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information.

citizenship.

Hold a BA/BS degree or equivalent level of experience.
Have prior experience with APL-specific Practices and Procedures, software, and databases (e.
g.
ADDIT, RMIS, EBSS, etc.
).
Have prior experience providing administrative support to an engineering team.
Are an advanced user of Microsoft Office Suite and APL applications.
Hold a current Secret or higher-level clearance.
